Automated Instagram Lead Scraping & Outreach Dashboard for Eliza Beans

We want a repeatable, semi-automated system that turns Instagram activity into qualified wholesale and retailer leads, allows targeted outreach, and provides a clear performance view. This is a learning project for the Eliza Beans brand to explore modern scraping, enrichment, automation, and dashboard tools while keeping lead data organized in Airtable. These blog posts are automatically generated based on Notion notes taken by Eliza while doing this project. There are some human edits for clarity and corrections.

High-level components and steps:

  • Goal: Use PhantomBuster to extract Instagram handles, bios, posts and follower data from your followers, users who engage with posts, and hashtag searches (examples: #specialtycoffee, #thirdwavecoffee).
  • PhantomBuster (scraping): Create an account, connect your Instagram, then use the appropriate "Phantoms"—start with the Followers Collector or Hashtag Collector—to gather handles and basic profile data.
  • Configure & run: Provide the Instagram handle(s) or target hashtag(s), configure options, run the Phantom and download the CSV results.
  • Airtable import: Create a table with fields: Instagram Handle, Bio, Follower Count, Website, Post Count, Engagement Tier (based on follower count or bio keywords), Interest Tags (manual or GPT-generated), Outreach Status. Import the PhantomBuster CSV directly into Airtable.
  • Data enrichment with Clay: Feed the Instagram handles into Clay to enrich profiles, and push the enriched data back into Airtable so rows contain fuller contact/context info.
  • Automation with Zapier: Use Zapier to trigger on a new enriched lead row in Airtable and then execute follow-up actions defined for your workflow (e.g., update outreach status, notify the team, create tasks). Configure the Zap to map Airtable fields to downstream steps.
  • Content automation note: There’s an additional note to use Zapier and Notion to automate blog post generation—this can be integrated as part of broader content & outreach workflows.
  • Visualization in Retool: Connect Retool to Airtable and build a dashboard to visualize leads and outreach performance. The dashboard should surface lead sources, engagement tiers, outreach status, and campaign metrics so you can track which messages and channels perform best.
